You will support a commercial portfolio of medical office buildings managing AR, monthly billings, and tracking budgets as well as keeping tenant and vendor files, coordinate the bid proposal process and selection of vendors. Manage the move-in/move-out process, track tenant improvement and capital improvements. In addition you will oversee the administrative assistant who handles the AP and tenant invoices. Must have commercial real estate industry experience and either Yardi or MRI.
Class A property in the downtown area reporting to the Property Manager and assisting with all aspects of the management role including vendor relations, tenant interface, coordinating with the engineering staff and managing the work order system, organize move ins and outs, review and prepare invoices, assist with annual budget preparation, as well as work with the leasing team. Requires at least two years of commercial property management experience with two years of college a strong preference.
Key responsibilities include: Handling building automation processes for commercial high-rise and mid-rise buildings, interfacing with vendors and service providers, handling tenant requests, move-in/move-out make ready, and preventive maintenance. You will work closely with Property Manager and management staff. Requires the ability to diagnose HVAC, plumbing, electrical issues as well as certifications and experience such as: OSHA Certification, Maintenance Electrician, Boiler Operator, HVAC Certifications, etc.
Walk the property and report issues needing attention as you maintain excellent rapport with tenants and visitors. Take tenant requests and dispatch to maintenance via IMPAK work order system. Interact with vendors, maintain COI’s for vendors and tenants. Process and code invoices, process weekly payables, post rent deposits and process tenant bill backs. Some previous experience in commercial real estate is preferred with Word and Excel and bilingual in Spanish is a plus.
