West Houston boutique commercial real estate management firm adding to the staff seeks an assistant to the Director of Property Management. Assist with tenant bill backs, accounts payable and receivable, data entry into QuickBooks to pay vendors, typing property notices, providing access cards to new tenants, etc. Some previous commercial property management experience is required as well as QuickBooks.

Assistant Property Manager

Assist with the activities associated with a property or group of properties.
Conduct initial collection calls and track follow-up.
Supervise vendors (landscaping, janitorial, etc.) and maintenance staff.
Perform regular property inspections and complete inspection report.
Assist in preparation of monthly reports for owners, identify variances.
Assist the Senior Property Manager to coordinate tenant improvement and capital projects.
Interface with tenants and vendors in daily operations of the building.
Represent and communicate clearly and accurately, in person, over the phone, and in writing the authority of the Property Manager based on legal agreements in effect and company policies.

Requirements

Prefer Bachelor’s degree in Business Management, Finance, Accounting

Property Manager

Requirements

Executive Assistant | Office Manager

Responsibilities – Human Resources:

  • Enter employee hours, vacation, absences into ADP, allocate shared employees among properties & departments, coordinate with Accountant for recording expense and reimbursements, assist all employees with resolution of payroll disputes
  • Coordinate employee semi-annual reviews, annual bonuses and provide research for merit raises
  • Coordinate disciplinary actions with the appropriate supervisor recommending actions to be taken and ensure that property documentation is recorded and maintained
  • Monitor vacation, sick leave, disability time, misc. time off for all employees
  • Assist employees with employee benefits, insurance elections, claims & issues
  • Assist with applicant process, drug and background checks and new hires orientation
  • Maintain and update as needed Employee Handbook and Policy & Procedures Manual, issue to new employees, train and advise employees on specifics.

Responsibilities – Executive Assistant:

  • Assist President and Controller with monthly presentations & reports, correspondence and files
  • Execute other duties and responsibilities as assigned by senior management

Skills and Education

  • Microsoft Office (Excel, Word, Outlook, PowerPoint)
  • Human Resources experience in payroll, insurance, 401(k) & benefit plans
  • Prefers 4 year degree

Property Manager – Southwest Houston

  • Class A commercial office property (Southwest Houston)
  • Oversee operations and administration of the property to maintain high tenant and ownership satisfaction and a positive public image of the property
  • Oversee tenant improvements and renovations
  • Prepare and negotiate bids and manage all services at the property including landscaping, janitorial, security, elevator maintenance, electrical, plumbing, mechanical, architectural, etc.
  • Preparation of annual operating and capital budgets
  • Preparation of monthly and quarterly financial reports to include a variance report, executive summary, accounts receivable aging report, incident report, capital reforecast and any other reports as may be required
  • Regularly inspect portfolio
