Responsibilities

  • Assist the Property Manager with all aspects of managing the portfolio of properties
  • Schedule and coordinate meetings and special events
  • Coordinate and supervise property work orders and maintenance
  • Maintain master lists of tenant and vendor contracts, mailing lists, and emergency contacts
  • Assist with management reports and annual budget preparation
  • Maintain organized and updated tenant files, and parking/building access cards records
  • Constantly strive for improvements in work processes to better meet clients’ expectations
  • Maintain tenant and vendor insurance certificates for all properties
  • Prepare and distribute tenant move-in packages; order tenant gifts
  • Prepare and coordinate bid proposals, service contracts and approved invoices
  • Assist in lease administration including lease set up and lease changes

Qualifications
Administrative experience preferably in commercial property management
Excellent customer service skills and interpersonal skills
Proficient in Microsoft Office Suite
Yardi, MRI or Skyline accounting software expertise preferred
